Existing Tenant Administration & Property Transition Fee
One Time Fee – $250
When Real Property Management Affinity takes over management of a property that already has tenants in place, we perform a full transition process to ensure accuracy, compliance, and a smooth handoff. This one-time fee covers the extensive administrative and compliance work required, including:
- Tenant Identity Verification: Confirming the current tenant(s) matches the lease records and verifying all occupant information.
- Lease Review & Data Entry: Reviewing the active lease for terms, rent amount, due dates, late fees, deposits, and special clauses, then entering all details into our management system.
- Security Deposit Reconciliation: Collecting and recording the deposit documentation, ensuring proper transfer to our trust account, and verifying compliance with Tennessee landlord-tenant law.
- Rent Roll Setup: Reconciling the rent roll from the prior management company and aligning it with our accounting system for accurate reporting.
- Key & Access Transition: Receiving and cataloging all property keys, locks, garage openers, and access devices from the prior manager/owner.
- Maintenance & Open Work Orders: Reviewing any outstanding maintenance requests or unresolved work orders and transitioning them into our system.
- Tenant Communication: Notifying tenants of the management change, providing them with access to their new tenant portal, and answering initial transition questions.
- Compliance Review: Confirming the property and lease records are consistent with fair housing, Tennessee landlord-tenant law, and RPM Affinity’s management standards.
- Onboarding Documentation: Organizing and retaining all critical documents, including move-in inspection reports, condition checklists, and HOA rules if applicable.
- System Setup: Creating digital files for the property and tenant(s), syncing with our accounting and reporting software, and preparing for seamless monthly owner statements.
